The business is currently scaling, and this position will be the first dedicated operations role — meaning you will directly influence how the company is structured and grows moving forward.
🧠 About the Role
This is a key operational position where you will take ownership of internal processes and become a core partner to the Founder.
At the moment, all coordination and operational tasks are handled by the Founder. The purpose of this role is to transition full responsibility for these areas — enabling her to focus on business development, sales, and strategic growth.
We are not looking for someone who simply executes tasks.
We are looking for someone who builds systems, improves workflows, and creates clarity across the business.

🔹 Fully remote
🔹 Part-time (20–22 hours/week) with transition to full-time
🔹 Timezone: EU / UK
📌 Location: Remote (EU–UK)
💷 Salary: 1000-1300$
📆 Experience: 2–5 years

Responsibilities
🔧 Key Responsibilities
🗂 Project & Task Management
• Manage and optimise the ClickUp workspace
• Keep tasks, timelines, and statuses up to date
• Ensure clarity of ownership across the team
• Monitor project progress and identify risks early
• Build reusable templates for recurring workflows
🤝 Team Coordination & Delivery
• Follow up with designers, freelancers, and team members on deadlines
• Ensure smooth communication between all contributors
• Oversee file organisation and asset management in Google Drive
• Maintain visibility over delivery timelines for each client
📬 Client Communication
• Ensure timely project updates are shared with clients
• Follow up on approvals, feedback, and missing inputs
• Handle operational client requests (non-strategic) over time
• Support timeline management and expectation alignment
📄 Proposals & Documentation
• Prepare client proposals using existing templates (AI-supported)
• Assist in structuring pricing and service packages
• Manage document workflows and e-signatures
💳 Finance & Payments Tracking
• Track invoices and payment stages across projects
• Follow up on overdue payments and escalate when needed
⚡ Systems & Automation
• Support CRM setup and workflow automation
• Build and optimise automations (ClickUp, AI tools)
• Develop and maintain email sequences
• Document systems and ensure team adoption
📚 SOPs & Internal Documentation
• Create clear SOPs for recurring processes
• Develop onboarding materials for clients and contractors
• Maintain internal documentation and knowledge base
• Continuously refine workflows and systems
🎯 Additional Responsibilities (Full-time stage)
• Assist with organising webinars and online events
• Coordinate onboarding/offboarding of contractors
• Support operational projects as the company grows
